Who each option suits

Ask what the system does before something expires

Registration, roadworthy, insurance and lease end all have dates. A system of record warns you ahead of them; a database tells you afterwards. Ask to see the alert, not the field.

Check whether quoting and management share numbers

If the residual, kilometre allowance and running-cost budget used to quote a vehicle are not the same records the fleet is managed against, you will reconcile them by hand for the life of every lease.

Test the end of the lease

Return condition, excess wear, mileage overruns and the extend-replace-return decision. This is where money is recovered or lost, and it is usually the least-demonstrated part of any fleet platform.

Ask what it looks like at your size

A tool that is pleasant at 30 vehicles can be unusable at 3,000, and vice versa. Ask for a portfolio view at roughly your scale rather than a sample fleet.
